Travel Terms & Conditions

At Crown Travel, we value clarity, flexibility and transparency. These Travel Terms & Conditions explain how bookings, payments, changes, cancellations, responsibilities and personal data are handled when you travel with us.

1. Booking confirmation

A booking is considered confirmed once Crown Travel or its authorized agent issues written confirmation after receipt of the required deposit or payment. Clients must carefully review the confirmation and immediately report any incorrect or incomplete information, especially names as shown on passports.

2. Booking on behalf of other travelers

If one person books on behalf of other participants, that person is considered the main contact for the booking and is responsible for payments, communication, requested changes and cancellations. By booking for others, the booking contact confirms that they have the authority and consent to accept these terms on behalf of all participants included in the reservation.

3. Prices and quotations

All itineraries, dates and prices are subject to confirmation at the time of booking. Crown Travel will not increase the price of a confirmed trip after full payment has been received, unless the client requests changes to the agreed program or services.

4. Our commitments

We are committed to maintaining the agreed travel price before departure and during the trip unless the client requests modifications. We also aim to remain flexible during the journey, but any requested change may generate additional costs payable by the client, and in the event of vehicle breakdown or guide illness, Crown Travel will arrange a replacement as quickly as possible to continue the service.

5. Deposit and reservation

A deposit of 30% of the total amount is required to confirm a reservation. The trip is only confirmed once the required payment has been received, and all hotels proposed in the quotation remain subject to availability at the time of confirmation; if one or more hotels are unavailable, Crown Travel will offer accommodation of at least a similar category.

6. Payment terms

Unless otherwise specified in the invoice or quotation, payment is made in three installments: 30% at the time of reservation, 40% within two months after reservation, and the remaining 30% at least 45 days before the start of the trip. Payments are made by credit card or bank transfer through a payment link generated by Crown Taxi & Remisse, and the total amount communicated to the client includes a bank commission of 5%.

7. Information and documents required

Clients must provide complete and accurate information necessary for the booking, including names, passport copies and any details required for train tickets, flights, permits, tax exemptions or entrance tickets. Crown Travel is not responsible for costs, delays or losses caused by missing, inaccurate, incomplete or late information provided by the client.

8. Airfare

International airfare is not included unless it is expressly mentioned in the tour description or quotation. If Crown Travel assists with air ticket reservations, prices are indicative at the quotation stage and remain subject to airline conditions, availability and fare changes until confirmed.

9. Medical information and fitness to travel

Clients are responsible for assessing whether a trip or activity is suitable for their physical condition and travel profile. Crown Travel may request relevant medical information when reasonably necessary for safety reasons, and clients should consult their physician regarding medical fitness, vaccinations and travel precautions before departure.

 

10. Special requirements

Any special request, dietary restriction, allergy, accessibility need or mobility limitation must be communicated at the time of booking. Crown Travel will make reasonable efforts to accommodate such requests, but cannot guarantee that all special requirements can always be fulfilled depending on the destination, itinerary and availability of services.

11. Minors

Any traveler under the age of 18 is considered a minor and must travel with an adult. The accompanying adult is responsible for obtaining all necessary permissions, travel documents and consents required by law, and also remains responsible for the supervision and well-being of the minor throughout the trip.

12. Travel insurance

Clients are strongly advised to travel with valid insurance covering medical expenses, emergency evacuation, repatriation, cancellation and travel disruption. The source text states that travel with the tour operator requires insurance with minimum medical, evacuation and repatriation coverage of USD 200,000, and that insurance is not included in the tour price.

13. Changes requested by the client

Any change requested by the client is subject to availability and approval by Crown Travel. Additional costs resulting from modifications to hotels, transport, train reservations, flights, tickets or other services must be paid by the client, and no changes are permitted within 10 days before the start of the first booked service unless Crown Travel expressly agrees otherwise.

14. Changes made by Crown Travel

Crown Travel may modify an itinerary when reasonably necessary due to operational requirements, health and safety concerns, weather, strikes, mechanical issues, border restrictions, transport disruptions or other circumstances outside its control. Where possible, clients will be informed as soon as reasonably possible, and any modification will aim to preserve the overall quality and spirit of the trip.

15. Flexibility during travel

Travel in Peru may involve remote areas, road conditions, weather variations and unforeseen operational constraints. For this reason, routes, schedules, accommodations, transportation modes, included visits or activity order may need to be adjusted, and no refund will be granted for unused services missed after departure where the cause is outside Crown Travel’s control or results from the client’s own actions.

16. Cancellation by the client

The trip may be cancelled up to 45 days before the start date of the tour. Trips cancelled less than 45 days before departure incur cancellation fees equal to 30% of the total trip amount, and bank charges related to refunds remain at the client’s expense.

17. Flights and cancellation

If airline tickets have been reserved by Crown Travel, those tickets are not refundable in the event of trip cancellation, regardless of the cancellation date. If the client wishes to postpone the trip, flight tickets may be modified without airline penalty only if the new dates are communicated in time and the airline fare for the new travel date remains the same; any fare difference will be charged to the client.

18. Force majeure

Force majeure refers to a sudden, unforeseeable and unavoidable event beyond the control of the parties, such as war, natural disaster, health crisis, government restrictions or severe transport disruption. If a reserved trip cannot operate due to force majeure, Crown Travel will offer the same trip at a later date chosen by the client, subject to availability and in the same service categories, and if a trip already in progress is interrupted for this reason, Crown Travel will assist the traveler in Peru and will do everything possible to reimburse any amount not yet spent.

19. Travel documents

Each traveler is solely responsible for carrying a valid passport and all required travel documents, visas, permits, certificates and insurance documents for the countries or regions included in the itinerary. The source text states that passports must remain valid for at least 6 months after the last day of travel, and Crown Travel is not responsible for losses or expenses caused by missing or invalid documentation.

20. Third-party suppliers

Crown Travel works with hotels, airlines, guides, activity providers, transport companies, boat operators and other independent suppliers in order to deliver part of the booked services. While Crown Travel takes reasonable care in selecting these providers, it cannot be held responsible for the acts, omissions, delays or failures of third-party suppliers operating under their own conditions and local regulations.

21. Optional services

Any optional extra not expressly included in the confirmed itinerary or quotation is considered a separate service. If Crown Travel assists in arranging such optional services at the client’s request, responsibility for that service remains with the third-party provider operating it.

22. Responsibility and traveler conduct

Travelers are expected to comply with local laws, follow safety instructions and behave in a way that does not endanger themselves, other guests, staff or suppliers. Crown Travel reserves the right to end or refuse service at the client’s expense if the traveler’s behavior creates danger, serious disruption or non-compliance with legal or safety rules.

23. Complaints

Any complaint must be raised as soon as possible during the trip so that Crown Travel has a reasonable opportunity to solve the issue. The source text also states that any complaint submitted after the completion of the trip must be sent in writing within 30 days after the last day of travel.

24. Privacy

Crown Travel collects and uses personal information only to the extent reasonably necessary to organize and deliver the booked services, manage bookings, process payments, communicate with service providers, ensure safety and comply with legal obligations. By booking with Crown Travel, clients consent to the collection, use and disclosure of personal information as described in the company’s Privacy Policy.

25. Images and marketing

During tours or travel services, photos or videos may be taken by Crown Travel, its representatives or other participants. The source text states that travelers consent to the use of such images for promotional and marketing purposes unless otherwise agreed in writing.

26. Governing law

These terms are governed by the laws of Peru. Any dispute relating to a booking, tour, product or service is subject to the jurisdiction of the courts located in Lima, Peru.
